Set sales action required fields per sales step

About Sales Actions › Required Fields for Pipeline Stage Movement

A sales rep must complete certain sales actions before an opportunity can be moved, which brings a higher level of predictability into sales, and makes for much more accurate forecasting. Required fields are optional—meaning, a sales organization can add these as they see fit, but they’re not a required part of the solution out of the box.

How to Enable Sales Actions

By default the sales actions are TURN-ed OFF in your system. In order to turn them on, follow these steps:

  1. Run Pipeliner CRM
  2. Click on your "User Profile" and click "Administration". You need to have admin rights in order to access Pipeliner CRM administration part. Pipeliner CRM Access Administration
  3. Within the menu on the left, click on the "Fields and Forms". Here you can customize Pipeliner CRM forms according to your business needs. Pipeliner CRM Open Fields and Forms
  4. Click on the "Opportunities" in order to customize Opportunity Form. Pipeliner CRM Admin Opportunity Form
  5. By default, your system consists of the one sales pipeline. Click on the "Edit Form". Pipeliner CRM Edit Opportunity Form

Before we add a unique field to a particular stage into your sales process, we need to create it.

How to Create a Custom Field

Follow the steps 1-5 from the tutorial above (How to enable sales actions). You should be seeing the detail of the opportunity "Edit Form" for the particular sales pipeline.

  1. Click on the "Create New Field". Pipeliner CRM Create New Custom Field
  2. Define your custom field. In our case, we call it "Budget". Pipeliner CRM Define New Custom Field
  3. Hit "Save" in order to successfully create new custom field.

After we create the new custom field you need to add this field to a particular stage in your pipeline.

How to Add/Link a Field to Particular Stage in Pipeline

Follow the steps 1-5 from the tutorial above (How to enable sales actions). You should be seeing the detail of the opportunity "Edit Form" for the particular sales pipeline.

  1. Scroll down within the "Edit Form" until you hit the part of "Sales Actions" with it's related "Boxes" for each stage of your sales pipeline. Pipeliner CRM Sales Actions Details
  2. Find the newly created field in the fields list on the right. Drag-and-drop the field to a particular stage in pipeline. In our case, we add it into the first stage. Pipeliner CRM Drag and Drop Field

This way you can put almost all your fields to any stage in your sales process.

How to Make a Field Required for a Particular Stage

Last, you can set a specific field settings related to this pipeline and make it required for this particular stage. Follow the steps 1-5 from the tutorial above (How to enable sales actions). You should be seeing the detail of the opportunity "Edit Form" for the particular sales pipeline.

  1. Scroll down within the "Edit Form" until you hit the part of "Sales Actions".
  2. Click on the "Edit" icon of the field you would like to edit and click on the "Edit Field Settings". Pipeliner CRM Edit Field Settings
  3. Click on the "Make this field as required".
    • Required from this step on pipeline - The field will be required to fill-in within the current and following stages in pipeline.
    • Required only within this step on pipeline - The field will be required only within the current stage i.e. if you set the field to be required only within stage 3, you will not be asked to fill it in in the stage 4. Pipeliner CRM Make Field Required

Please note that the validation of the fields is set on the entering point of the stage (not on the leaving point). Example: If you want to make a field required for sales rep when he is moving the opportunity from stage 1 to 2, add the fields into the stage 2. Important: After you successfully set up your sales actions for your sales pipeline, do not forget to publish all changes, so they are available for your sales team.
